Who are we?

Your personal data is processed by Horizonvanilla Lda – Unipessoal, Lda, VAT No. 514684526 (hereinafter referred to as “HORIZONVANILLA”).

HORIZONVANILLA acts as the data controller in accordance with the General Data Protection Regulation (GDPR).

For what purposes do we process your data?

Your personal information may be collected and processed by HORIZONVANILLA for the following purposes:

a) Compliance with legal obligations, including mandatory communications to border authorities and fiscal services, as well as for invoicing purposes.

b) Execution of the Temporary Accommodation Contract for tourists or the Local Accommodation Management Contract, covering payment procedures, management of check-ins and check-outs, guest administration, deposit charges, provision of complementary services (cleaning, transfers, breakfast, grocery services), contractual obligations and pre-contractual procedures.

c) Mobile and email communications, sending relevant information, promotional messages, and the use of digital platforms as part of HORIZONVANILLA’s marketing and commercial strategy, including responses to information requests.

d) Protection of assets and property owned by HORIZONVANILLA and statistical analysis.

Failure to provide the data required for purposes listed in (a) and (b) may prevent the fulfilment of legal obligations and make it impossible to execute accommodation or management contracts, without entitlement to compensation. It may also limit the performance of certain services.

What personal data do we collect?

As part of its activity, HORIZONVANILLA collects and processes the data essential for providing contracted services, handling information requests or pre-contractual procedures. This includes identification data, contact information, and bank or card payment details.

On what legal basis do we process your data?

The processing of your data is based on:

  • The performance of accommodation or management contracts and the fulfilment of legal obligations (Article 6(1)(b) and 6(1)(c) GDPR).
  • Your explicit consent for the purposes described in point (c) (Article 6(1)(a) GDPR).
  • The legitimate interests pursued by HORIZONVANILLA for the purposes listed in (d) (Article 6(1)(f) GDPR).

How long do we keep your data?

Unless a legal obligation or judicial order requires otherwise, your data will be stored only for the minimum period necessary to fulfil the purposes for which it was collected.

With whom do we share your data?

HORIZONVANILLA may share your personal information with the following:

a) Associated companies or entities, provided they follow equivalent data protection standards.

b) Public authorities to whom HORIZONVANILLA is legally required to disclose information, such as border services and tax authorities.

c) Subcontracted service providers, solely for technical or operational support, including website hosting providers, email marketing services, cleaning companies, legal firms, accounting services and insurance companies.

d) Competent authorities in the context of legal proceedings or for detecting technical or security issues.

Is your data transferred outside the European Union?

Your personal data will not be transferred to countries outside the European Union, except in exceptional situations and always in compliance with applicable legislation, such as for data hosting, storage, backup services, or technical processing.

HORIZONVANILLA guarantees that no transfer will be made to countries without an adequate level of data protection, as defined in the GDPR.

What are your rights?

Under the GDPR, you may at any time:

  • Access your personal data;
  • Request its correction or deletion;
  • Request restriction of processing;
  • Object to processing;
  • Request data portability.

If a request is manifestly unfounded or excessive, particularly due to its repetitive nature, HORIZONVANILLA may charge a reasonable administrative fee or refuse to respond.

Where processing is based on your consent, you may withdraw it at any time, without affecting the lawfulness of prior processing, nor future processing based on other legal grounds such as contract execution or legal compliance.

You also have the right to lodge a complaint with the Portuguese Data Protection Authority (CNPD).

Security and confidentiality

We apply appropriate security measures to protect your data from unauthorised access. However, as data transmission over the Internet is not entirely secure, we cannot guarantee absolute protection of electronically transmitted information.
